In this webinar we will discuss the process of reporting your field actuals for the harvest year 2023. We will explain what actuals are and why we need it, the timeline and deadlines and how reporting actuals affect your certificates. We will also give a detailed demonstration on how you can report your actuals either through Agreena's platform or by using a pre-filled template. There will be time to ask questions at the end of the webinar.

[HARALD] Hello and welcome to this Agreena webinar. In this webinar we will talk about your 2023 actuals. Today I have brought with me my great colleague, Sisko. And my name is Harald. We will talk you through the process of filling in your actuals. First, we would like to give you a short overview of the agenda. First, we have a short welcome and then some practicalities. Then, what is the next steps towards your certificates. Next, we'll talk about what is the actuals, how to report the actuals, and then we will come up with either the template example or the platform example. And then, in case you have any questions, we will go through them. Questions you can either ask in the chat down here or in the question box up here. So you can always ask them, and then we will try to respond to them as we go along. [SISKO] Welcome also from my part. I'm just going to mention a few practicalities in the beginning for everyone participating. First of all, just so everyone knows this webinar is happening in English. So we hope that also all questions will be written in English and we will also answer them in English, just so you know. And the next thing is, as Harald already mentioned, if you have any questions, please use the questions tab. So, if you look on the right side of your screen, you can see questions a chat. And we would really hope that you use the questions. It's easier for us to navigate. In the chat you can also just say hi, welcome, whatever. If there is any general discussion, you're welcome to use that as well. And and the last point that I have here is that this webinar is a very general introduction to the actuals. So we realize that all of you might have different situations with your actuals. Your actuals might look different based on your previous information that you have added on the platform and your language and whatever, when you join the program. This webinar will not touch on every single detail that could happen. And if you have any very specific questions about your actuals, you're welcome to get in touch with your Agreena representative. And we are super happy to help you, also on an individual level. Yeah. Let's get started. So, first I will present a little timeline just to get you an overview of what has happened before, where we are now, and what is the process to get to your certificates. So you might remember, especially the people who joined this year, - welcome on board once, again - on the 15th of September we closed the harvest year for 2023, and now we are moving on and we are recapping everything that happened in 2023. And so on October 1st, or a little bit after, we opened the actuals for 2023. And I will also recap a little bit what the actuals are itself so I'm not going to go too deep into that right now. But this just means that October we started to gather the actuals information from all of you. We have two different deadlines for the actuals, and this depends on the way that you will report the actuals to us. So, as Harold already mentioned shortly, there are two different ways, and we will also get back to that a bit later. But you can either do it on the platform. - I hope that all of you are familiar with the platform already - this is one of the ways, and the other way is filling out a template, and that's especially useful if you have a lot of fields, let's say. And if you're doing everything by yourself on the platform, then the deadline for you is the 30th of November. So by the end of November, we need to have everything on the platform. All of the actuals saved and sent to us. If you're using the template, which we also get into more detail later on, and the deadline to fill the template is the 15th of November and the reason for this is that we need a little bit of time to process the information and upload everything on the platform so that it's ready by the end of the month. So just keep these two deadlines in your mind. After we have gathered all the actual information, we can finally start with the MRV process and, you have probably all heard of this before during the validation, but this is really where we check by using different methods. We have some farm visits and we use some remote sensing, and we're going to process all the information and check that everything is really ready and good to go. And there will also be the third-party verification that really calculates the amount of certificates that you will get for last year. And then in 2024, we don't have an exact date for the certificates yet, because it depends on how fast we get the actuals in and also on the MRV process. But finally, now we have the goal of Q2. So sometime in the springtime, late springtime, we will issue the certificates for harvest year 2023. Yes. And then let's continue. So what are the actuals and why are actuals important? Um, we have either sent out a questionnaire to to some of you, or the rest of you will receive it in the coming days. In this questionnaire, we ask whether you want to fill in your actuals on our platform or you want to receive a pre-filled spreadsheet So more about this. So why do we need actuals? So actuals is, first of all, to confirm to us what has actually happened on your fields before, during and after the harvest. You can always change and update the information, if you have already provided us some. If you haven't given us any strategy, then you can go and fill in all your actuals, field by field. Uh, the most common changes would be most likely the yield, the fuel usage, and maybe the tilling or the amount of fertilizer applied to the field. Um, yes. And then the actuals are then locked and used to calculate the amount of CO2 equivalents that has been reduced or removed from the atmosphere and stored in your soil. And based on that, we will calculate a number of certificates for your farm. First, the field strategy you already have entered, or at least most of you have entered, is used to estimate your potential based on on this data, you can provide at a given time. And by that you can have an estimate of the potential earnings for for a given year. Then, the actuals are the same questions and the same data that we're asking for, but it's then to confirm that the strategy you have provided is actually the true one. So we are calculating the certificates based on on your actuals. So that's why it's very important that you make sure that all the data in the actuals are correct. Yes. So how do I fill in my actuals? I can report my actuals, or you can report your actuals, in two ways: either through the platform or by using a template. Adding actuals through the platform: Here you first sign up to the platform, or sign on to your platform. Then you open the field for which you want to update your actuals for. Third, you make sure that you are in the actuals tab and not in the strategy tab and change all the information that needs to be changed. The strategy tab should be locked, so you shouldn't be able to change anything, and it only should be able to be done in the actuals tab. Once you are done, then you click on "send", out on the right, and submit the actuals. And then you have to repeat that for all your fields. In a moment we will show you how to do it and maybe in a bit of a quicker way. Then you could also add your actuals for the first time this year through a template: first of all, we have sent out this request through a questionnaire either in the last couple of days or in the next coming days. You should all have received this questionnaire which we have made for you. Where we ask whether you want the template or use the platform. If you have said that you wanted the template then you will receive a link to an online Excel spreadsheet where we have filled in all the pre-filled data. We have pre-filled all your strategies So if your strategy is close to your true data then you should only correct maybe the yield. Um, once that is done, then you have to click on the there's a green tick box on top of the spreadsheet, and then we will be notified and upload your your data. And we will show you how to do that in a moment as well. Yes. [SISKO] Great. [HARALD] Yeah. So first of all, we would like to show you how to do it on the platform. Um, so what you do is you sign in to your platform, you see the dashboard like we do here. And then you go to the specific fields. Oh, sorry. These were the fields. And then you go in to the specific field. You have maybe already entered the strategy. Then you go to the actuals tab, and then you could actually just copy data from strategy. And then it's all added. And in case you have harvested let's say six times, then you just correct that and click save. The only, uh, not that smart thing about this is that you have to go through each tab and copy from strategy. So that's done by this. And then you put in this and then you can calculate the potential. And then you will have a calculation. And then you have to click and submit. And you'll have to do this field by field, uh in order to, to finish the actuals. One other way you could do it is you could go to the templates. Here we have both the strategy templates which some of you may have used. But we also have a tab called Actuals Templates. And it works the same way. So let's say you have a template for winter wheat, and then you open that and then you put in (this was for spring barley) and then you just put in the different, different data values. And then you could afterwards click on this apply template. And then you will have your entire field list. And then you just tick off like this. And then you click "Apply template" and then will "Overwrite and apply". And then you have applied that strategy, or that actuals template to fields. And then you can submit all all your strategy, or all your actuals for one specific crop type. That's how you would do it on the platform. And the smarter, not-so-smart way, is this way. And then we also have the uh, the template link or the template way of doing it. [SISKO] So as I mentioned in the beginning, these two ways of filling out the actuals, it really depends on what you prefer but I think I mentioned it already in the beginning. So if you have a lot of fields, I think this template might be more convenient for you because it gives you, um, the opportunity to kind of look at all your fields in one, one single sheet, or you can kind of see everything at once. I think it's a bit more convenient, but it's up to you. So as we mentioned before, how you get this template is by filling out the questionnaire that we have sent to you. It might, as Harold already mentioned, it might also be in the next few days. If you haven't received anything within the coming days, remember to check your spam email as well because it might have landed there, but there should be the option to request for this template and then you. When you request for it, we will send you a link to your email and then you can access your individual template. And that's also what I want to emphasize in the beginning, that everyone's template might look different depending on how much information you have filled out before. So this is just an example. Your template might look different. Just so you know. So here we have created an example of the template. Um, if you start just looking at the information here... Just so you know, the first two columns, you cannot change the information. This is the farm name and this is the field names. So this is something you cannot change. But everything after that is information that you can change if you need to change anything. The template is also filtered by the crop. So if you have, let's say alfalfa, all of those fields should be on top and then comes the next one and so on. And if you have... So this is information that we would have gathered from your field strategy, if you filled one before. So this is all information that you have given us already. We still would like you to go through all of the information. So let's say, we have some numbers for the yield, but if it turned out that you ended up harvesting less or more, please make sure that these numbers are corrected and really look carefully through all of those numbers. All of these questions are pretty similar as in the strategy. So check that tillage is correct. Um, crop residue and so on. We also have a few questions in the template that are not essential. So you don't have to answer them. But we would really like you to, if you have the time and if you have the data. So, for example, when we talk about catch crops and cover crops, we have a question about when you planted them and when were they terminated. And we are really just asking for the date. And this helps us in the processing of the data, and it also makes it less likely that we have to come back to you later on and ask more specific questions. So if you want to make your own life easier, or a little bit easier as well, then definitely answer these as well. Um, we ask about the fertilizers, so you can put all the numbers in here. Again, this is only an example. So I only have fertilizer now on two fields but if you have added to all the fields then it would obviously show everywhere. Hum, maybe the next part that is quite crucial for us is that you might notice when you go through this template, that we have added some questions that you were not asked in the strategy. One of these questions is liming. And even though we didn't ask it before, please note that this is something that you do have to answer here. So if you leave this empty, we will come back to you and ask for it, because it is something that is quite important for verification process and we need to know about it. So be aware of that. Remember to answer. Or maybe also one point that I would like to mention. If you, let's say, for the fertilizers or something else, you can leave those ones empty, if you have not used any fertilizer there is also the option of saying "none", but it doesn't matter for us. You can either leave it empty or you can say "none", but, hum, whatever fits you the best. And the last question that has been added later on that we do need an answer for is about the subsidies. So if you get any, any other subsidies from different programs or this doesn't include EU or national subsidies, but something else. If you are paid for something else in your agricultural practices, then we would like to know. So please answer this one as well. All right. So here, on the end of the sheet, or on the last three fields, I have left empty, just because I wanted to show you what it looks like, if you wouldn't have any information on the sheet. So, for example, if you don't have anything filled out in a sheet, that would probably mean that you have not filled out your strategies. And that means that we don't have anything to work with, so the sheet would be completely empty. In that case, you would just go in one by one. You would, em, select the crop types and add them. And one tip just from an Excel point of view: if you have a lot of fields with the same crop type, you can always drag this down and copy it to all of those fields. So let's say if you have 50 fields with the same crop type that's just a tip that makes your life a little bit easier. But yeah, in that case, you just have to kind of start a bit further back and you have to work your way through the whole template. But either way, whether it's filled out or not, we still want you to really pay attention to every detail so that we get exactly the right information from you. The very last thing that I want to mention here is if you have any fields with "Fallow/Drought" If we go back to the beginning, I have now marked one field with "Fallow/Drought". It's also possible to select it from the crop type menu. And if you have not harvested anything on your fields because of a drought then we would still ask you to fill out this information here. So obviously then you don't have any yield, so this would be zero but anything else... So if you have tilled on your fields of if you did something else, you had cover crops, how much fuel you've used and so on, we would still really very much like to know because it has an impact on the carbon that is stored on your soil. And that's a valuable information for us. If your field has been fallow, then in that case you can leave it empty, because then we assume that there has been no activity on the field whatsoever, and then it's fine. But just in case you had an issue with drought and you ended up not harvesting then we would ask you to fill out the info but then say that the field has been "Fallow/drought". Great. A very important last point to the sheet: Once you have worked your way through all of the questions you have answered everything. There is this little green box up here. And when you're completely sure that you are done, you don't want to change anything anymore, please click the box so that we at Agreena, that we know that you are done working with the sheet and we can finally upload your information to the platform. But this is also to say that only click on the on the box once you're very sure that you're done, because once you click it, we will go in and we will save the information so that you cannot change it anymore. So it's just in order to avoid the situation where you click it and then the next day you remember "Oh no! I wanted to change something!" and then you go back and then maybe you cannot change it anymore. So be very sure that you are done before you click it. But once you're done, please click it. So, that's pretty much it for the template. I would just like to remind also at this point for all the questions, we tried to write them in the chat so that we can answer anything that you have in your mind. But otherwise, Harald, do you have anything you want to add? [HARALD] No. Uh, the final part is I can see that we've gotten a couple of questions. Uh, so there has been a question from Julian: Why have you got two methods of sending actuals? Is one easier than the other to fill in? And the reason for us having two methods is to... we're trying to improve our process of gathering information from you to make it as smooth as possible and as easy as possible. So we this year, it's the first year with the spreadsheet and we'll see how it works. And if that works, maybe then next year we will only have that option. Some of you have been used to fill it in through the platform. So that's why we have kept the second option, or the platform option as well. That's why there is two options this year. Um. Then there is another question also from Julian: "At this stage, my yields are only rough estimates. I will not know accurate yields until all crops sold. Also, can only access accurate yields by crop, not by field, as each crop type is stored in a single bulk heaps." Um, to that I would say: then please put in your best rough estimates, and if you only have them on average, then we will go with that. Then that shouldn't be that big of a problem. But at least try to put in the best estimates that you that you have. If you don't know the correct answer by the actuals deadline. [SISKO] Yeah. That's a question that we also get a lot. I have gotten from my farmers as well regarding the fuel use, maybe some of you don't track it with every little, every single time or every detail. But yeah, we're really asking for the best knowledge that you have. So whatever you think is the the closest to the truth that you can get. Yeah. That's what we're looking for. [HARALD] Yes. And then there is a bit longer from Olivia: "After the wheat harvest in July 2023, we just did a cover crop passage. Wheat seeds that were lost by the combine have germinated and fields are now green. We are about to spray them with glyphosate at spring 2024. We will seed sunflower. Our question: Next year, harvest 2024, when we then apply for certificates, can we consider such fields as cover crops until winter?" I'm not 100% sure. I would have to ask one of our in-house agronomists. But, hum, my best guess is that that would count as a cover crop until winter. But please contact your own customer success representative. And then that person could maybe get you a better answer than than I'm able to do. Then we have a question from Julian, again: "Are pesticide applications recorded as kilo or liters, hectares of active ingredient, or product?" It is recorded as liter, hectares of active of the product. So that's what you have to type in on the on the spraying questions. Then there is a question from Matty: "What if the field is split into two? One practice and another with another practice? How to report this?" [SISKO] I think I have gotten this question before and I think in that case we need to divide it. I think it depends also on the practice. If we're talking about that there is a different crop or if it's a different tillage practice. But I would actually... I'm pretty sure this might actually be a Finnish farmer. So you would get in touch with me. And if you write your question to us directly then we will investigate the specific situation and see how we go about that. That's my recommendation. [HARALD] Yes. And the last thing, remember the deadline. So we are really hoping to be done with the actual as soon as possible end of November for those who do the platform, 15th for those who do the template. And this is really also for your own benefit, because the faster we have the actuals in, the faster we can start issuing certificates. So it's for everyone's benefit if we can get this done quickly. [HARALD] There was actually one last question. That is "If I don't have harvest can I then put zero?" So yes, this was the case. As we as we mentioned before, if you're having problems with your harvest yields due to drought, then just put in zero. But please put in the rest of your practice and the specific fields and then just submit that and then we will have it as a drought example. Uh, if that's the, em, reason right here. So, if you don't have any harvest, please put zero. [SISKO] Yeah. [HARALD] Any last questions? I don't see any more. So, I think that we will say: Thank you all for listening.
